When to turn a spreadsheet into a PDF

Spreadsheets are great for working with numbers but awkward to share: the recipient needs Excel or a compatible app, columns may be cut off on a phone, and formulas can be changed by accident. A PDF shows exactly what you intended and opens everywhere.

    • Sending invoices, quotations, price lists and salary slips to customers or staff
    • Submitting financial statements, mark sheets or reports to a portal that accepts only PDF
    • Printing timetables, attendance sheets and stock lists
    • Archiving monthly reports in a format that won’t change

    Get the page layout right

The PDF follows the print settings stored in your workbook. For the best result, set them in Excel before converting:

    ProblemFix in Excel
Columns spill onto extra pagesPage Layout → Scale to Fit → Width: 1 page
Wide table on a tall pagePage Layout → Orientation → Landscape
Only part of the sheet is neededSelect the cells → Page Layout → Print Area → Set Print Area
Header row missing on later pagesPage Layout → Print Titles → Rows to repeat at top

Hidden sheets are not included. Unhide any sheet you want in the PDF.

    How your files are handled

Accurate spreadsheet conversion needs a full office engine, so unlike most of our tools this one converts on the server. Your file is sent over an encrypted connection, converted automatically and deleted together with the PDF straight after the result is sent to you.
